Growth increases pressure on HR and IT

Ghent-based MobilityPlus specialises in charging solutions and supports companies, SMEs and project developers in the electrification of their vehicle fleets. And they are doing so successfully, as evidenced by the fact that the MobilityPlus team has doubled in size over the past four years. Such rapid growth naturally brings its own challenges, including in the IT department. New employees need to be able to get started quickly, laptops need to be ready, logins and access rights need to be in order, and security needs to be up-to-date. Meanwhile, MobilityPlus’s own IT team wants to focus on building future-proof solutions for their customers, and therefore has less time to devote to internal IT support. That’s why the company relies on the expertise and daily support of Savaco One.

A smooth start for new employees

Specifically, MobilityPlus works closely with Savaco for onboarding and offboarding employees, says Julie De Craecker, HR Manager: "We are growing rapidly, so new people are joining us all the time. To give them the best possible start, we want to make sure all the practicalities are in order for them in good time. We do this very quickly and consistently with Savaco, using a Microsoft Forms document that we fill in."

Rinus Plaetinck, account manager at Savaco, adds: "Based on that Forms document, our team knows exactly what is needed for each new employee: which laptop, which email address, which access rights, which tools. This way, we can prepare everything perfectly and deliver it correctly. Together with MobilityPlus, we opt for HP laptops, which we configure and secure properly from our office in Roosdaal, so they are ready to use right away."

Cybersecurity sparring partner

Growth means not only more people, but also more devices, more data, and more potential risks. That’s why MobilityPlus also relies on Savaco’s expertise in the field of cybersecurity. "The necessary cybersecurity tools are standard with every new laptop that Savaco delivers," says IT manager Steven Peeters. "In addition, I meet with Savaco every month to discuss our security challenges. In this respect, Savaco is a real sparring partner for us: they help us think about how to secure our company in a smart way, and they also provide the right solutions to implement that approach effectively." Savaco monitors the entire IT environment of MobilityPlus and, where necessary, security upgrades are carried out centrally and remotely, without the internal IT team having to worry about it.

Phishing simulations keep awareness sharp

One of the things MobilityPlus is very committed to is making all employees aware of the risks of phishing. To this end, they use Outkept: an automated phishing simulation and cybersecurity training platform that they implemented via Savaco. "We use Outkept on the one hand as a training programme to create security awareness among our employees," says Steven, "and on the other hand as a phishing simulation tool to see how well our employees score in terms of detecting and preventing phishing."

Julie also experiences this first-hand: "We regularly receive cybersecurity training, which includes watching videos on cybersecurity and taking a test. As part of the test, we also receive phishing emails in our inbox to see if we are aware of the dangers of phishing. The idea is that if employees suspect an email is a phishing attempt, they should report it via the Outlook button. This helps us keep our awareness sharp – a bit like a fire drill, but in the digital world."

The biggest benefit for us is, of course, time, which we don’t have to spend on practical IT issues today. In addition, the protection of our own IT service is also important to us.

Mutual cooperation ensures peace of mind.

The collaboration between MobilityPlus and Savaco is actually a two-way street, Rinus adds: "For our new offices in Ghent, we are using MobilityPlus charging stations ourselves – a great example of how we can support each other."

What is the biggest advantage of this partnership for Julie and Steven? "Peace of mind!" Julie replies enthusiastically. "The biggest gain for us is, of course, time—time we don't have to spend on practical IT matters. Shielding our internal IT team is also important to us; we don't want them to be overwhelmed with requests regarding new hire onboarding or general IT questions from our employees."

That’s where the added value of an IT partner like Savaco comes in: both HR and IT can focus on the growth of the company and the innovation that their customers are waiting for, without having to worry about security and practical IT issues.
